Discretion is not a feature of our service. It is the very condition of it. This Charter sets out the binding commitments of confidentiality that govern every engagement at Trax Concierge.

Trax Concierge ("Trax") was founded on the principle that the highest form of luxury service is invisible. The privacy, identity, holdings, preferences, locations, and movements of our clients constitute information of fundamental personal importance — and, in many cases, of significant security relevance. Our entire operation is structured to protect this information with the seriousness it deserves.
This Confidentiality Charter is more than a policy document. It is a binding statement of how Trax operates, the standards we hold ourselves to, and the recourse available to clients should those standards ever fall short. It is integral to our Terms of Service and applies to every engagement, current and historical.
Every member of the Trax team — without exception — has executed a comprehensive confidentiality and non-disclosure agreement at the time of joining. These obligations survive their employment indefinitely. Background checks, vetting through specialist firms, and ongoing professional accountability are standard.
Members of our team are trained never to discuss client matters outside of secure channels, never to acknowledge a client relationship in any social or public context, and never to disclose any client identity or holding to external parties without specific authorisation.
All sensitive client communications are conducted via end-to-end encrypted channels. We employ WhatsApp, Signal, ProtonMail, and equivalent services for routine communications, and dedicated secure messaging platforms for transactions of particular sensitivity.
Where written documentation is required, we use encrypted file sharing with expiring access. We never transmit account numbers, passport details, or transactional identifiers via standard email.
Within Trax, information is shared on a strict need-to-know basis. The advisor handling a client's engagement does not necessarily share details of that engagement with colleagues working on unrelated matters, even within the same firm. Partners and external service providers receive only the minimum information necessary to perform their specific function.
For matters of particular sensitivity, we operate under code names and reference numbers, with the underlying identity known only to senior advisors directly handling the engagement.
Every external partner engaged by Trax — whether a watchmaker, an estate agent, an aviation operator, a chef, or a household staff candidate — is selected from a vetted network of professionals with established reputations for discretion. Where specific engagements warrant, we require partners to execute non-disclosure agreements binding them to the same standards we hold ourselves to.
For especially sensitive matters, we work only with partners with whom we have long-standing relationships and proven discretion records.
Client records are maintained on secured servers with multi-factor authentication, encryption at rest and in transit, and detailed access logging. Physical documents — where they exist — are stored in locked archives accessible only to authorised personnel.
Sensitive data is segregated from administrative data. We do not use commercial CRM systems or cloud-based marketing platforms for client information. We do not aggregate client data with third-party providers for analytics or marketing purposes.
Trax does not engage in client-name marketing, does not publish case studies that could identify clients, does not participate in press features or interviews about our work, and does not allow our work to be referenced in third-party publications without express written client authorisation.
We do not have an Instagram presence, do not participate in industry awards, and do not seek the public visibility that would invite scrutiny of our clientele. Our reputation is built entirely through quiet recommendation between principals.
Honesty requires us to acknowledge that no commitment of confidentiality is absolute under all circumstances. There are limited situations in which Trax may be legally compelled to disclose information:
In all such circumstances, we will, where lawfully permitted, notify the affected client at the earliest opportunity, will narrow any disclosure to the minimum legally required, and will resist any disclosure we consider unjustified through all reasonable legal means.
Trax maintains a robust conflicts-of-interest framework. Where two clients have competing interests in respect of a specific opportunity or transaction, we will decline to act on behalf of one or both, or will act only with the express informed consent of both parties. We do not use information obtained from one client to advantage another.
Our obligations of confidentiality are perpetual. They do not expire upon completion of a specific engagement, upon termination of a client relationship, or upon the death of the client. The same standards that apply to active clients apply to past clients and to the legal successors of deceased clients.
Should a client believe that Trax has failed to honour its confidentiality obligations under this Charter, the matter may be raised directly with our Managing Director through encrypted communication. Confirmed breaches of confidentiality are treated as the most serious misconduct possible within our firm — leading, where appropriate, to immediate dismissal of personnel involved, financial compensation to the affected client, and where necessary, referral to law enforcement.
This Charter is enforceable. Clients of Trax may rely on the commitments expressed herein as legally binding obligations of the firm.
Words alone cannot guarantee discretion. What guarantees it is culture — the daily, quiet decisions of every member of our team to treat what they know about our clients with the seriousness it deserves. The provisions of this Charter codify that culture, but the culture itself precedes the document, and exists independently of it.
Clients who engage Trax do so with the understanding that they are entrusting us with information of significant personal importance. That trust is the foundation of everything we do, and we hold it as the most precious asset of our firm.
